BCP Strata is dedicated to providing our clients with a professional, yet personalised standard of Body Corporate Management services.  For ease of reference, these are divided into Agreed Services, and Additional Services, and correlate directly to our Administration Agreement.

AGREED SERVICES:

Secretarial

  • Convene and attend the Annual General Meeting
  • Call nominations for the position of executive and ordinary members of the Committee
  • Prepare and distribute the notice of annual general meeting and ancillary documentation
  • Record and distribute minutes of annual general meetings
  • Prepare and distribute notices for agreed number of committee meetings
  • Attend agreed number of Committee Meetings
  • Record and distribute the minutes for agreed number of committee meetings
  • Arrange for the appointment of a returning officer
  • Receive and acknowledge correspondence

Financial

  • Open, maintain and operate a bank account for the administrative fund and sinking fund
  • Prepare a statement of accounts for each financial year
  • Prepare a draft budget for each financial year
  • Issue notices to lot owners for payment of contributions
  • Receipt and bank levies
  • Process and pay accounts
  • Prepare financial records and statements as required by the Regulations

Administrative

  • Establish and maintain the roll and registers
  • Maintain and keep records
  • Make available the records for inspection

Insurance

  • Obtain quotations for insurances required to be effected by the Body Corporate
  • Effect the insurances required to be effected and maintained by the Body Corporate on behalf and as directed by the Body Corporate
  • Pay insurance premiums from the Body Corporate’s funds
  • Submit insurance claims to the Body Corporate’s insurer (for claims where BCP Strata are the approved Insurance Agent)

ADDITIONAL SERVICES:

Maintenance and Facilities

  • Attend to arrangements for the maintenance, repair or replacement of the common property or body corporate assets as directed by the body corporate
  • Liaise with independent contractors in relation to utility services
  • Organise quotes on behalf and as directed by the Body Corporate
  • Issue Work Orders to tradesman on behalf and as directed by the Body Corporate
  • Ensure tradesman are correctly insured and have appropriate licensing
  • Submit insurance claims to the Body Corporate’s insurer (for claims other than when BCP Strata are the approved Insurance Agent)

Other Services

  • Convene and attend EGMs including preparation and distribution of minutes
  • Prepare applications/submissions to Commissioner for the Body Corporate and arrange lodgement of documents with Department of Natural Resources and Mines on behalf and as directed by the Body Corporate
  • Liaise with lawyers, accountants, tax agents, engineers and other professionals as required
  • Coordination of Technical Reports including Sinking Fund Forecasts, Insurance Valuations and WHS Compliance Reports
  • Levy Arrears collection
